Position Description                                                                      

The incumbent will be involved in a wide range of support activities inside Chancellor Office, including meeting arrangements, archiving, helping with external affairs, etc. He/she will act as an important liaison between Chancellor Office and other departments and external organizations.

 

Duties and Responsibilities                                                                    

· Responsible for organizing and arranging regular management meetings, other work meetings, and taking meeting minutes;

· Responsible for the stamping and archiving work of the Chancellor Office;

· Responsible for providing logistic support for visitors and guests;

· Assist the Director of Chancellor Office in external affairs, including liaison, preparation of invitation letters and guest reception, scheduling itineraries, collecting and organizing information, distributing documents in time, etc.;

· Act as the liaison between the Chancellor Office and other departments and serve as a facilitator;

· Responsible for the translation, arrangement and record of relevant school documents, and conference interpretation;

· Collect and distribute letters, newspaper, periodicals, and other mails for the Chancellor Office;

· Complete other tasks assigned by the Director of Chancellor Office.


Required Job Specifications                                                                

· Required qualification / academic degree: bachelor degree or above from an internationally recognized university.

· Required experience: preferably interpreting experience and relevant administration experience in higher educational institutions.

· Communication and interpersonal skills (English & Chinese): high

· Skills in official document writing: high

· Planning and organizing skills: high

· Microsoft Office skills: high
