Position Description                                                                      

We are looking for an HR Assistant to support our recruiting and onboarding activities. The incumbent will be involved in a wide range of support activities inside the HR Department, from coordinating hiring activities to CV screening and handling paperwork. An important part of this role will be to act as the liaison between HR and candidates, ensuring smooth communication and efficient hiring process.

Duties and Responsibilities                                                                    

· Prepare and post job vacancies online.

· Coordinate hiring activities, including scheduling interviews and keep calendars for all hiring teams and candidates.

· Manage recruitment websites to make sure all the information is up to date.

· Assist in CV screening.

· Greet and assist interviewees onsite and make sure the interviews go on smoothly.

· Coordinate travel for fly-in candidates, including transportation, accommodation and reimbursement.

· Help with preparing service agreements/employment contracts.

· Responsible for contract sealing and scanning.

· Maintain candidate database and talent pool.

· Assist in new employee on-boarding procedure, including new employee information collecting, pre-employment health check arrangement, informing relevant departments, preparing internet accounts, offices, computers, apartment keys and staff cards, etc.

· Manage employee personal files; establish hardcopy of personal file for new employees; remove the separated employees’ files and tidy up the file cabinet.

· Order stationary for HR Department monthly.

· Undertake other tasks and responsibilities assigned by the superior.

Required Job Specifications                                                                

· Required qualification: bachelor degree or above from an internationally recognized university, preferably majoring in HR, Business Management, or relevant fields.

· Required experience: 1-2 years’ work experience in administration, preferably in a recruiting-related role.

· Knowledge of hiring practices and stages;

· Honest, responsible, detail-oriented, and able to work independently and as part of a team;

· Good interpersonal skill to work in a cross-cultural environment;

· Strong organizational and time management skills;

· Problem-solving ability.
