Position Description                                                                      

The Accommodation Assistant will support the Operation Manager in providing a friendly, professional and customer orientated frontline service to residents on campus, including faculty and students.


Duties and Responsibilities                                                                    

· Customer Service. Dealing with a range of queries from a diverse student population, in person and by email, finding solutions to the varied problems which enquirers may bring. And supervise the daily work of the Student Dorm Janitors to reach the high standard performance as required and expected. Establish an effective channel to communicate with residents.

· Accommodation contract. Supporting Student Affairs Department to ensure residents’ understanding of and compliance with residence terms and conditions.

· Health and Wellbeing. Assisting Student Affairs Department, Undergraduate Office, Graduate Office, Property Management Company in promoting the wellbeing of students and preventing antisocial behavior.

· Property management. Carrying out room checks, efficiently identifying and reporting any abnormal to related department. Liaising with property cleaning team and associated staff regarding housekeeping and student activities to ensure standards of cleanliness are maintained. Strict management on the key duplication and usage;

· Bed Space Management. Assisting with all aspects of the process of allocating beds to students in accordance with Housing Policy and aiming to maximize occupancy. To be fully conversant with Room Management System – Mercury, to manage and update the bed information in the system on a daily basis; Responsible to compile regular reports on room availability, occupied rooms, waiting list, arrivals and departure etc.;

· Accommodation charges. Assisting to maximize timely payment of utility charges and other damage charges, timely and consistently communicate with Finance on deposit deduction, send out due payment notice to residents and dealing with any related enquiries from students.

· Office Management and Records. Working with the other team members to maintain computer and paper based records in line with data management regulations. Ensure the accommodation office equipped to provide appropriate advice and information to students & faculty;

· New intake and Vacation coordination. Providing support for the new intake process, manage the move out process; Assisting with the end of year room inspection, vacation cleaning and maintenance program, administration of vacation residence groups. 

· Health and Safety. Involvement in promoting a culture of commitment towards health and safety, ensuring compliance with related regulations. Assist in maintaining safety of buildings and residents.

· Others. Assist in providing accommodation support on events when required; Undertaking other duties not specifically stated which from time to time are necessary, and be able to work flexibly, evening and weekend work essential around move in dates of student and faculty.


Required Job Specifications                                                                

· Required qualification: bachelor degree

· Work experience: service experience including customer service and dealing with complaints is preferred.  


Required Job Competencies                                                                

· Language ability: good English communication skills, able to work in an English speaking environment;

· Good personality, detailed oriented, good sense of customer service, willing to accept new challenges.
